Information Gathering
Integral to the operation of our business is the necessity to collect personal information from our customers. This includes, but is not limited to, name, address, telephone number, relations and any property enclosed on the premises which we are protecting. This data is collected in order to ensure that we provide the best possible service to our customers and to provide the greatest amount of detail to any authorities who may be involved in the protection of life or property. It is stored onsite and is accessible to our immediate office staff only. It is also transmitted electronically to our monitoring stations for their use. This information can be used to identify you and may or may not be part of the public record. It is for our use and the use of our monitoring stations and local emergency services only, and is not shared with any other parties with the following exceptions:
- Information is collected by us for use by
local Police Services for all of our customers who are residents
of these specific policing jurisdictions. This information is
supplied directly to the police for their records in order to
properly respond to calls from the monitoring stations. This is
for the safety of the public and the officers, and the information
is passed directly onto them via Alarm By-law Permit Registration
forms which are filled out by our customers. This information is
not kept at our premises except that it is stored temporarily
until such time as it is delivered to the police.
- Information regarding the components of an alarm system or any other devices used to provide personal or contents protection will be supplied to an insurance company for the sole purpose of providing insurance discounts to our customers. Personal information regarding the homeowners or anyone residing or working in a premise is not divulged at any time to these companies without the consent of the customer.
Consent
Consent for the gathering of this information and the sharing of information (as below) is implied in the either verbal or signed contractual obligation for us to provide security services. Information is never gathered without consent, and the minimum of information is gathered in order for us to properly perform our duties.
Accuracy
Every attempt is made to keep this information accurate. However we cannot be responsible for changes to this information of which we were not made aware. In this regard, it is our customers' responsibility to notify us of any important changes to their personal information in order to maintain the highest possible accuracy in our records.
Information Sharing
As noted information is only shared as above. The Alarm Registrations are delivered by ourselves to the proper Police Services. Information which is provided to an Insurance Company may be transmitted electronically or via Canada Post. Information shared with monitoring stations is always transmitted electronically.
Information Storage and Disposal
Security systems, video surveillance, and
locked filing rooms are in use in our office in order to protect all information stored inside. All of our staff are trained in the proper storage and disposal of information. Information is stored for a period of five years on current customers who are active in our systems unless that information is determined to be critical to the proper delivery of our products or services. In such cases, information is stored until such time as it is determined to be unimportant at which point it is destroyed. Customers who are inactive in our systems will have all information destroyed after a period of three years. All information is shredded in-house or is subcontracted to an insured professional shredding company.
Electronic Information Retrieval
From time to time we may retrieve information from a security system. This information will contain all user access information, as well as all conditions, events and alarms noted by the system. This is gathered either at the customers behest or by us for the purpose of troubleshooting or investigating specific circumstances.
Anonymous Data
Sometimes we will request surveys or other information to help serve our customers better. This is done anonymously and is simply to gather opinions and data from the public and is never shared with anyone else. It is not stored as personal information as above.
Requests for Information
At any time we would be happy to provide our customers with all current information, most specifically for confirming the accuracy of this information. Requests for full disclosure must be made in writing either transmitted electronically or via Canada Post. Simple requests for information can be made verbally by contacting us at our office.
